Visitor Host Responsibilities
Your chapter's Visitor Hosts are an extremely important part of your team! Visitor Hosts are the first people a
potential new member encounters, therefore, choose two of your very best network members for these duties. Accountable
and committed Visitor Hosts will keep your chapter running smoothly and add professional polish to your meetings!
VISITOR HOST DUTIES:
1. Two Hosts serve for six months (coincides with Leadership Team terms).
2. Arrive early (10 minutes) to setup a visitor's table with sign-in sheet, pens and paper name badges.
3. Greet Visitors:
a. Get two copies of every visitor's business card:
1. On the back of one card, write the name of the member who invited the visitor and give this card to the President BEFORE the meeting is called to order!
2. Visitor Host keeps the other card and calls all qualified visitors two days after their visit to thank them for coming (and invite them back if they didn't join)!b. Provide paper name badges for visitors.
c. Have visitors fill out the Visitor's Sign-In Sheet.
d. Briefly explain the agenda and sixty second presentation so visitors can be prepared
e. Remind them to pass out their business cards or brochures.
f. Let them know your chapter is eagerly looking for someone in their profession to whom they can give business.
g. Tell them: "If you like what you see and you want to join, it's possible to lockout your competitor from getting all of our business by submitting your application today!"
h. Give each visitor a Visitor's Packet which contains materials such as (suggested items):1. One copy of every member's business card.
2. One Visitor Information sheet.
3. Application (this may be given separately).
4. Introduce the visitors to other members and have another member get them coffee or tea and show them how to order and pay for their meals (where applicable).
5. During the meeting, choose the Table Top Exhibitors (2-3 members) for the following veek as determined by the
President. This can be done once or more a month, and is a great way to give members the chance to "display
their wares," thus generate referrals or sales right on the spot.
6. After the meeting, conduct Visitor Orientation:
a. Thank the visitors for coming.
b. Cover the Instant Referrals Worksheet with them.
c. Ask them to fill out the Confidential Meeting Evaluation form.
d. Answer any questions they may have.
e. Collect the visitor's applications and payments.
7. Fax the Visitor Sign-In Sheet to your Director after the meeting for further follow-up.
Note: If a visitor is attending who conflicts/overlaps with another
member, please explain our policy on allowing one person per profession. Ask the visitor to briefly introduce him/herself
as an observer of the meeting. Be sure to refer the individual to the local Director for placement in another chapter
that has that classification open.
